Preparing for the Inevitable: Crisis Communication Templates for ICT Incidents

In recent days we completed the preparation of a set of crisis communication templates associated with ICT-related critical events for a major Italian industrial company.

Cyber incidents, ransomware attacks, data breaches, or disruptions of digital systems are now among the most significant crisis triggers organizations may face. When such events occur, the time available to react is extremely limited, while the demand for information grows rapidly: media, customers, authorities, partners, and employees all expect immediate answers.

In such circumstances, it is not the moment to improvise communication.

Drawing on our operational experience in managing real crises and running crisis simulations, we developed a series of pre-structured initial communications designed for the organization’s key stakeholders.

The templates prepared include, among others:

• initial media statements

• messages for customers and business partners

• internal communications to employees

• preliminary notifications for authorities and regulators

These tools allow organizations to gain precious time during the first hours of a crisis, while ensuring consistency, clarity, and control of the message.

Preparing crisis communication templates in advance is a key component of crisis preparedness: it reduces the risk of mistakes, accelerates decision-making, and enables the Crisis Management Team to focus on the operational aspects of the event.

In an environment where ICT crises can emerge and spread within minutes, the ability to communicate quickly and accurately becomes an essential element of organizational resilience.
